Release version EB360 1.8.211129
Release Date: 29th November 2021
This is a feature release with new functionality. the following will be available:
MSQ Year on year comparison dashboards
Version 1.8 of the platform includes updated dashboards which help users see the differences between multiple sends of the Modern Slavery Questionnaire (MSQ), and filters for the time period to review.
User configurable Managed Third Party views
As the number of Screening and Due Diligence products increases in the EB360 platform so does the quantity of data that is available for all your Third Parties. As a result of this, it becomes impractical to have all this data in a single Managed Third Party list view as we do in 1.7 or before.
Therefore in 1.8 using the ‘'+’ button in the top right you can now add your own user defined Entity views.
These views will be added in the navigation on the left under the ‘User Views’ section. User defined Entity List views will allow you to define the column set and filter that drives it, as well as give it your own custom name.
You can save your view configuration via the '…' menu in the top right of the view. In 1.8 these views will be available and editable to all users of the platform.
In Platform User Management
Effective from version 1.8 of the platform Admin users will be able to manage their own users from directly within the platform
These settings will be available user the 'Platform settings' section of the navigation side bar. Users can be added, deleted and updated. You can also trigger Password resets via the Actions column of the view.
Additional events for the Event Log
The event log was added in version 1.7 to provide notifications on any On Going Monitoring Alerts (OGM) that were generated from IDD or IDD+ screening. In version 1,8 it has been signifcanertly extended. This view allows you to see all updates that have occurred over time on the platform and the Managed Third parties. New events include:
-
Remediations
-
Questionnaire sends and completions
-
Ordering of screening
-
and more
You can use the filters in the view to look for specific types of events, on selected third parties.,
User defined Event log view
Due to the updates to the event log in 1.8 there are now a lot of events. It may be that there are certain classes of event that you want o ensure you do not miss. For this reason you can now add user defined Event Log views. These views are added via the '+' button in the top right corner of the screen. Once created you can update the filter, then save the view. User defined event log views will appear under User Views in the left hand navigation.
Notification Manager
The notification manager is a new component for version 1.8 of the platform. It allows you to select specific events from the event log (and if you want specific event log tags as well), such that when these events occur the selected users (and CCs) are emailed with the update.
In essence while users will be able to see all these events by logging into the platform and reviewing the evet log, the Notification manager will also send out emails to selected users telling them via a separate channel they have occurred. .
With respect to Due Diligence questionnaires,, the notifications include when questionnaires and sent and completed.
Anti Bribery and Corruption Questionnaire (ABCQ)
We are pleased to announce that from version 1.8 of the EB360 ethiXbase’s standard Anti-bribery and Corruption DDQ will be included as a optional product. This works the same way as the existing MSQ and can be sent to all your suppliers to cover this additional Sustainability requirement.
Context Sensitive help
We have added additional hyperlinks (shown as blue question marks) that provide links to articles with more details on the sections and products. These are hosted in Zendesk where you will find additional material on how to use and make the most out of the ethiXbase EB360 platform.
Release version EB360 1.7.211021
Release Date: 14th September 2021
This is a feature release with new functionality. the following will be available:
Importing of DDQ results
From version 1.7 users will be able to import MSQ questionnaire results from an excel spreadsheet. The template will be available via the Add → Import → templates section of the interface. As well as the raw data the spreadsheet will allow a validated version that can be filled in easily by a supplier in the event that they cannot access to the platform directly.
An example of the sheet is shown below. It currently supports 5 languages, English, Turkish, Malaysian, French and Spanish
Imported questionnaires can be for existing third parties, or for new ones which will be added at the time of import.
EDD Ordering
Version 1.7 will allow the ordering of EDD (Enhanced Due Diligence) reports for your suppliers. These represent deep dive analysis on all aspects of that entity, including connected associates. EDD’s are charged per use, and we suggest talking to your account manage on how to access them.
Event Log View
While each Third party has its own audit trail there has not been to date a platform level event log which tells you about has occurred and what has changed. From version 1.7 there is a new top level Event Log view which will contain important events related to your third parties and the platform. In the first version it will just contain the ‘On Going Monitoring’ events related to any IDD and IDD+ Due Diligence tasks you have ordered.
Moving forward we will add a lot more content to this view to help you get the latest on your suppliers as real time events.
HTML View for IDD and IDD+
While to date the IDD and IDD+ reports have been available as PDF downloads from 1,7 they will also be available in an HTML format in a separate browser tab. This function is available via the Action column in the Due Diligence section of a third party view.
An example is shown below.
Page Framework improvements
We have made a few tweaks to the main page structure by:
-
Changing the left hand icons to text, and allowing the panel to be collapsed and expanded
-
Moving the ‘Add’' button to the to right of the screen, and making the menu button more obvious
Release version EB360 1.6.210630
Released on the 29th July 2021
This is a major release with some significant new functionality. the following will be available:
Send out a new round of Modern Slavery Questionnaires
Prior to this version you could only send the MSQ once to each third party. From this version you can send it multiple times, most likely at some appropriate interval (for example yearly). New questionnaires will be added in chronological order on the Third Party page, each has its own status and state.
Third parties can now be sent the MSQ multiple times
You can be selective on who you send the next batch of questionnaires too. For example if there are low risk Third parties (which can be identified using our new APRI / PRI / IDD and IDD+ products) then you may elect just to send to your moderate and high risk suppliers.
Varied MSQ end states
Another important update is that MSQs can have varied end states, not just completed. The end state can be set via the Questionnaire section of the Third Party page. The end states now include:
-
Completed, which is set when the MSQ is submitted, and is consistent with previous versions
-
Cancelled, where it was sent and never responded to, or some other reason means it will never get completed.
-
Declined / Refused, where the Third Party has elected not to fill in the MSQ, or provide any evidence that they have any polices and have told you as much.
-
Self Evidenced, where the Third Party has provided their own documentation for their Policies. There is a file drop below the option to allow you to add the documents.
In all cases the user updating it can add comments to support the change of state. This has been made a required field for the audit trial.
MSQs can now have multiple end states, not just completed
Improved Third Party Table view
The Third party list view has had a major revamp, including:
-
User configurable columns, which as well as which columns to show, includes settings for the order, width, visuals (font / colour), display name and description (tooltip).
-
Revised alert icons, to support colour blind users and improve the visuals
-
Reduced clutter, from non data related content
The enhanced third party list view
Inclusion of Open Corp Net
From this version when you on board a Third Party you can take advantage of Open Corp net to ensure you have selected the correct legal entity. When using the new Enhanced Third party onboarding dialog likely matches in that jurisdiction and globally will be listed below the company name text field. If you select one you will also get a known list of associates for that company that you can add to your Third Party.
Enhanced Third Party on boarding and configuration dialog (including Open Corporate)
As we add an increasing number of products to your platform we need to enhance your experience when adding new third parties to the platform.
In addition for some of the products we need some additional required information to run the actions, To this end we have created the new On boarding dialog that can be seen below.
The new Third Party onboarding dialog
As described above the onboarding now includes direct access to Open Corporate which helps you ensure you have selected the correct legal entity during the on boarding, for the Third Parties jurisdiction.
You will see this dialog when you click ‘+' on the left hand panel or ''Add’ at the top of Third party list. It has replaced the previous 3 screen wizard like process.
Export function
Via the Managed Third party list you can now use the export button to export all the platform data to excel. This process can take a while, so the results will be emailed to you via your login details.
My Risk Rating
From this version you can allocate your own risk level to a third party, given all the other information the platform has provided for you and your own risk appetite. This is independent of any other profiling you may have performed.
New Advanced Perceived Risk Indicator (APRI)
This is the first version of the ethiXbase platform which contains the Advanced Perceived Risk Indicator, allowing you to instantly screen all your Third Parties for risk and resilience across all the UNGC suitability pillars including:
-
Human Rights
-
Labour
-
Anti Bribery and Corruption
-
Environmental
The reports are instant and can help to target those third parties that you really need a Modern Slavery Questionnaire response from.
The APRI results in the third party grid and in the Third party page
Instant Due Diligence and Instant Due diligence plus screening
In this release of the EB360 platform we have integrated our standard Instant Due diligence (sanctions screening) and Instance Due Diligence plus (deeper dive screening including associates). These can be actioned on all your third parties. The reports are remediated by our in house team and made available directly on your platform under the third parties within a few seconds.
Viewing IDD and IDD+ results in the EB360 platform
Once you have run an IDD or IDD+ on your Third parties you will also benefit from On Going Monitoring (OGM) over time should the situation for any of your third parties change.
The ethiXbase Standard PRI is now available on the EB360 platform
Effective from EB360 1.6 you can benefit from the ethiXbase standard Perceived Risk Indicator. This provides clients with the ability to benchmark and assess the risk of their third-party supply chain. This is done using AI and machine learning to determine the potential risk associated with a supplier. The PRI™ can be configured and map directly with the client's risk matrix
Via the new On boarding screen you can now add the PRI to your third party
