You can export third party data from EB360, provided you have the necessary permissions. You can choose between:
- Exporting records for ALL third parties
- Exporting records for a selected subset of third parties
Third party records are exported in Excel files, which are then emailed to you automatically.
If you are exporting data for all third parties on your platform, there are 2 possible export options. Guidance is provided below on the export options, and when to choose Export vs Filtered export.
To export records for all third parties
- Go to the Manage Third Parties view, or to any list-based user view on your EB360 platform.
- If you have 10,000 third parties or more, you must use the 'Filtered export' option. Do not select any third parties, just click Filtered export:
- If you have fewer than 10,000 third parties, then you can use either option - Export or Filtered export:
The 'Filtered export' option is recommended in most cases, because it scales better. For a discussion of the 2 export options and how they differ, please see 'The export options', below.
- Your export will now be processed and export files will be sent to the email address that you used to log in to EB360. If you are using the 'Filtered export' option, you may receive your data in multiple files, depending on how many third parties and custom attributes you have on your platform.
- It may take some time for the export process to complete, depending on the size of the export. If you do not see anything in your email inbox within a few minutes, please check your junk mail. You can also use the Event Log to confirm whether the export has completed:
- If you have used the Export button, look for the event type 'Export Completed' with the tags 'BULK, SUCCESS'.
- If you have used Filtered export, look for the event type 'Filter Export Completed' with the tags 'BULK, SUCCESS'.
To export records for selected third parties
- Go to the Manage Third Parties view, or to any list-based user view on your EB360 platform.
- If you are interested in a particular group of third parties (e.g. all companies in a certain jurisdiction) then you can use the filter options to help you find them:
- Select the third parties that you want to export and click Filtered export:
- Your export will now be processed and Excel export files will be sent to the email address that you used to log in to EB360. If you are exporting larger numbers of third parties, then the export data will be sent in multiple Excel files, with a maximum of 3,000 third parties per file.
- It may take some time for the export process to complete, depending on the size of the export. If you do not see anything in your email inbox within a few minutes, please check your junk mail. You can also use the Event Log to confirm whether the export has completed - look for the event type 'Filter Export Completed' with the tags 'BULK, SUCCESS'.
The export options
There are 2 export buttons (as shown in the images above) and they act slightly differently:
- Export: Exports data for all third parties and places it into a single Excel file. This option is only supported for platforms with fewer than 10,000 third parties.
- Filtered export: This option allows you to select which third parties to export. If you use this option without making a selection, then all third party data will be exported. If there are more than 3,000 third parties on the platform, then the export data is batched into multiple Excel files, with a maximum of 3,000 third parties per file. This option is supported for platforms of all sizes (there is no upper limit on the number of third parties).
When to choose Export vs Filtered export?
Choose Filtered export if:
- You have a larger amount of data on your platform.
- You want to export archived third parties as well as active third parties.
Choose Export if:
- You want to export user data as well as third party data.
- You have a smaller amount of data on your platform (the Export option will not work when there is too much information going into the file).
What constitutes a 'larger' amount of data?
This may be the sheer number of third parties (e.g. 10,000 or more). But it can also be the amount of data which is driven by custom attributes, and other product usage such as DDQs, IDD, IDD+, and so on. The Filtered export batches the data up so avoids these data related issues.
What is in the export files?
Export files have the following tabs / sheets:
- Third parties - contains the list of all third parties, one row per third party. Note that the Filtered Export option also includes archived third parties, but the Export option does not.
- Contacts - a list of all the contacts in all third parties. There is one row per contact per third party, so there may be zero, one or multiple rows for a single third party, depending on how many contacts have been added.
- Associates - a list of all the Associates in all third parties. There is one row per associate per third party, so there may be zero, one or multiple rows for a single third party, depending on how many associates have been added.
- Due Diligence - contains a list of IDD, IDD+ and EDD results (name plus risk score) for all IDD, IDD+ and EDD reports in the platform. Where a third party has multiple reports there will be multiple lines per third party.
- IDD+ Alerts - contains a list of all alerts from all IDD+ reports in the platform, remediated or not remediated. Where a report has multiple alerts there will be one line per alert in the tab.
- APRI - contains the results of the APRIs that have been run on all Third Parties.
- DDQ - one tab per active questionnaire in the platform. Each tab contains 1 row per questionnaire that has been sent out. Note that they may or may not have been completed. If they have been completed, then the answers are displayed in the last columns (these are dynamic, based on the DDQ contents).
- Trainings - this sheet is only available for Filtered Export. It lists all third parties with training assigned to them, along with details of the assigned courses, registered learners, completion status, etc.
