User email templates are part of the workflow-based email system introduced in EB360 3.8. They define the content and data that will be sent by workflow-triggered emails.
The workflow-based email system uses the action and automation framework, and is completely separate from the older, event log-based, 'notification scheme' email system.
Note: You can create and edit User Email Templates, but you cannot configure how and when they will be used to send emails. That functionality is currently restricted to workflow administrators. User Email Templates vs Email Templates - what is the difference?
Both are templates used to create and send email notifications. The main difference is that:
- User Email Templates are used by the workflow-based email system.
- Email templates are used by the default system notifications sent out by the EB360 platform - for example, to welcome a new user to the platform.
Advantages of the workflow-based email system
The workflow-based email system can do a number of things that notification schemes can't. For example:
- Send emails to roles (as well as to individuals).
- Access a wider variety of data and include it in emails - e.g. answers from DDQs, or data from IDD and IDD+ reports.
- Target recipients more selectively, and send emails when specific conditions are met. For example, the workflow-based email system can support the following scenario:
- If a DDQ is answered satisfactorily, send an email to your purchasing team confirming that they can proceed with next steps.
- But if an answer to a DDQ question raises a concern, send a follow-up email to the main contact at the third party.
- And capture the answer that raised the concern and send it to your compliance team for further investigation.
